Identifying duplicates within a business database can be a real challenge. And whichever method you do choose you are almost certainly going to lose some valid business prospect list data.
If you identify duplicates simply by recognising the b2b prospect list data with the same business name then you will almost certainly lose some genuine businesses. For example, many pubs call themselves Red Lion or Kings Arms. Likewise there are builders, plumbers and taxi firms who use the name A1 or AAA. And similarly there are many restaurants called The Great Wall or The Taj Mahal. So the business name alone is not a good method of de-duplication. A further issue with the company name is the spelling of that business. By way of example; The Red Lion, Red Lion or The Red Lion Public House etc.
Working with the address and postcodes of the business data prospect lists is not necessarily a good idea either. Many companies trade from the same premise; business tower blocks and multi-suite offices from the same building.
A third variable to consider from the prospect list is the telephone number. However, this would result in the deletion of all branches and sites of the corporate companies that operate with a single, central telephone number. Some banks for example operate in this way. So to de-duplicate your prospect lists by telephone number alone would delete all the sites of these business records.
Although the method highlighted is by no means perfect, one raw solution (which has a reasonable degree of success) is to build a database key based on the postcode and telephone number. Unfortunately, this will result in the deletion of companies who share both an office premise and a mutual telephone number; but these are few and far between in business data list terms. As a database controller you would need to make your own judgement call on whether this is acceptable practise.
What the address key tells you is a unique value for each business premise which has both the same telephone number and postcode, so is reasonably accurate.
The process of building this match key enables a swift identification of duplicates within your database. By sorting the full prospect data list on this match key field, all like-minded duplicates will be pulled together and the database can then be searched for such matches.
Perhaps it would not be the desire to remove the duplicates from the prospect database but simply to flag them with a warning sign.
