I know it's meant to be a peaceful meeting but they should use battle tactics so they can guard her. I can think of several ways in which they don't need to do anything but are prepared to fight just in case. Although that's possibly because of my inteest in Warhammer40k. that kind of stuff genrally causes you to think of tactical solutions.
