789 is a youtube gathering with some youtubers. yes its free but you have to pay for food and hotel, etc. You have to send an email, twitter, AIM, etc. to get onto the roster for the 789 gathering.

if you live in NY or in driving distance from NY its not necessary to stay in a hotel. he just set up the hotel thing for people coming from abroad or people in the US who live far away from NY. also the hotels are handy for people who are staying overnight and want to be close to the gathering.

My recommendations-

If there's over 300 people coming don't try and organize a music show for that day, give people plenty of time to just hang out and meet. Why not try and find a place to do the music thing Friday night, like an open mic all ages place or karaoke - karaoke seems to be a favorite at the other gatherings I've been to.

Try to get the permit thing taken care of soon, you want to make sure you reserve a place in the park. (it can take a month to get one)

If you're getting 50 rooms at a main hotel, why don't you get a conference room at that hotel? Dude, this is basic. I don't want to be insulting, but it doesn't sound as if you have a clue as to what you're doing. Maybe you all should get someone involved who does have a clue

What's happened in the past is people will meet up in a central location, like the hotel, but then break off in to groups with people they know. Some people may go get coffee, some may go film a video, some may go sightseeing. It's easier to give people a central point where to meet up and then let them plan their own stuff for the most part. At Southtube 2 we chilled in the lobby of the hotel, but people were coming and going all day long.

Why not have 1 secondary hotel so that everyone can be in no more than two spots; instead of having everyone spread out. If need be, take up-front money for the 2nd hotel before you make the block reservation. It should then be no problem

I had no idea that you 3 guys were doing this on your own! Kudos for that. I know I would want to go to this and perhaps see a few of my favorite Youtube celeb's, but I doubt that I could get over there during that time... even still: Saturday is supposed to be the big day, right? i have a suggestion for a possible activity we can do.

we should have a silent dance party! it's where a bunch of people meet up at a public place at a specific time with their ipods/mp3 players. then at a previously planned time some designated person will give a signal and at that signal EVERYONE starts dancing to their own music with their mp3 players.

i think that'd be fun with youtubers and it would be fun to film too!
