I have been using QBs for a while. My set up is much more complex. But a simple question. I have never done check / bank reconciling how to do when the checks are already in the system and the bank statement comes later.
Also on reports, I what to know the total deposits made. I get the typical accountants, in and out, I WANT THE TOTALS ---QB 2005
I have EFT I want them to show up in the check register in time with the checks. So I assign the same number to the EFT as the last check.

I watched your video because I am considering using Quickbooks for my real estate investing company. I purchase and rehab homes. I have one general contractor who writes up a construction agreement and a preset draw schedule. How do I set this up? Revenue or sales would be when I sell the property. also, as far as an accounting procedural critique of this, I would say that when entering transactions you should do these entries off of the original document (receipt, deposit slip, etc) then use the bank statement solely for reconciliation purposes. This checks for bank errors, missing pieces that may not have hit the bank account, etc. Also it is a concern of accrual accounting basis that entering the transactions on the bank statement date would be the wrong day to realize that............
I work for a a single company, and I have a message from QB that I have reached my vendor limit. I would like to continue adding transactions with my current registry. What is the simple resolution? Should I just add a new company w/ the similar name, and same start balance? I've exported my current registry to excel as back up. any feedback would be great.

This was great for me. I have a similar situation as @megroesbeck09. I'm not an accountant though -I'm a property manager. I was told the program we have to keep track of apts and residents needs QuickBooks to function efficiently -integrated. Would you have be inclined to do a tutorial on the best way to set up a tenant and security deposits; collecting rent; partial payments; show their balances; adding late fees; court filing fees; misc charges (damage to apt). I think your advice is best.

You have to have some bookkeeping experience for this tutorial. You can't expect to learn bookkeeping. This is response to bladbollock comment. (what the hell is he talking about)

I am not understanting why you are entering each transaction. Doesn't each check post when they are done. If you have 100 different checks, this is a LOT of data entry. Don't the deposits get posted to each different sales account?

I just started a company and bought QB 2010 for my finances. In order to hit the ground running I also bought the Learning QB training software. After watching more than 65% of the course, I realized that there was something wrong. Lots of good stuff, but I was not seeing the basic stuff.
I decided to stop and search the net and I found your video. It explained exactly what I wanted: the basics.
The Learning QB is very good, but your video made all come together.

quesiton, you know how your on line banking shows an icon to download statement to a quick book file, is there a way to transfer your bank statement without inputing one by one off the statement. or is that impossible to do..
You can download files from some (not all) banks and credit card providers and use those to update & reconcile your QB file. It's not difficult but it does take some work to setup. Sorry, I don't have any tutes on that subject. Perhaps look for another one here or Google for it. Or try the Help file in Quickbooks.

The guy who used to hold my job left & I took over. He used Quickbooks and there are numbers associated with every single account (i.e. "4100.00 Labor" - I don't know why it's not just "Labor"). Do you know what all these numbers are for? Or how to assign them and how to keep track of them? They are confusing.
Those are account numbers. Many accountants use them to better organize the accounts.
If you're finding them confusing and don't have a need for them, you can turn them off by going to Edit > Preferences > Accounting > Company tab and unchecking the "Show Account Numbers" checkbox.
Doing this will not delete the account numbers; it will merely hide them. So if you or someone else wants to see them at a later date, you can always get them back.
There is an Account Number field in the window that comes up when you create a new account. Usually it's in the top right corner. It will also be there if you edit an account, so you can add or modify the number after your account is created too.
Is there any way that serial number of each item be track back to what P.O. it was purchased?
For example:
I buy a 500 prepaid phonecards.
Then I sell them to different customers; let say 10 different customers 50 cards each.
(each phone card has a serial number)
Some customers return cards and I would like to see if I sold those cards he is returning by entering the serial number of the returned cards in quickbooks. Is that posible? Right now I have to use a data base to track the cards.

also, as far as an accounting procedural critique of this, I would say that when entering transactions you should do these entries off of the original document (receipt, deposit slip, etc) then use the bank statement solely for reconciliation purposes. This checks for bank errors, missing pieces that may not have hit the bank account, etc. Also it is a concern of accrual accounting basis that entering the transactions on the bank statement date would be the wrong day to realize that............

I work for a a single company, and I have a message from QB that I have reached my vendor limit. I would like to continue adding transactions with my current registry. What is the simple resolution? Should I just add a new company w/ the similar name, and same start balance? I've exported my current registry to excel as back up. any feedback would be great.

This was great for me. I have a similar situation as @megroesbeck09. I'm not an accountant though -I'm a property manager. I was told the program we have to keep track of apts and residents needs QuickBooks to function efficiently -integrated. Would you have be inclined to do a tutorial on the best way to set up a tenant and security deposits; collecting rent; partial payments; show their balances; adding late fees; court filing fees; misc charges (damage to apt). I think your advice is best.

I am not understanting why you are entering each transaction. Doesn't each check post when they are done. If you have 100 different checks, this is a LOT of data entry. Don't the deposits get posted to each different sales account?

It is just a set up...in your own account if it is set up to auto transact to your bank accounts it will auto generate each transaction.

I just started a company and bought QB 2010 for my finances. In order to hit the ground running I also bought the Learning QB training software. After watching more than 65% of the course, I realized that there was something wrong. Lots of good stuff, but I was not seeing the basic stuff.
I decided to stop and search the net and I found your video. It explained exactly what I wanted: the basics.
The Learning QB is very good, but your video made all come together.

quesiton, you know how your on line banking shows an icon to download statement to a quick book file, is there a way to transfer your bank statement without inputing one by one off the statement. or is that impossible to do..

You can download files from some (not all) banks and credit card providers and use those to update & reconcile your QB file. It's not difficult but it does take some work to setup. Sorry, I don't have any tutes on that subject. Perhaps look for another one here or Google for it. Or try the Help file in Quickbooks.

The guy who used to hold my job left & I took over. He used Quickbooks and there are numbers associated with every single account (i.e. "4100.00 Labor" - I don't know why it's not just "Labor"). Do you know what all these numbers are for? Or how to assign them and how to keep track of them? They are confusing.

Those are account numbers. Many accountants use them to better organize the accounts.
If you're finding them confusing and don't have a need for them, you can turn them off by going to Edit > Preferences > Accounting > Company tab and unchecking the "Show Account Numbers" checkbox.
Doing this will not delete the account numbers; it will merely hide them. So if you or someone else wants to see them at a later date, you can always get them back.

There is an Account Number field in the window that comes up when you create a new account. Usually it's in the top right corner. It will also be there if you edit an account, so you can add or modify the number after your account is created too.

Is there any way that serial number of each item be track back to what P.O. it was purchased?
For example:
I buy a 500 prepaid phonecards.
Then I sell them to different customers; let say 10 different customers 50 cards each.
(each phone card has a serial number)
Some customers return cards and I would like to see if I sold those cards he is returning by entering the serial number of the returned cards in quickbooks. Is that posible? Right now I have to use a data base to track the cards.
