The best way to get this down pat is to practice practice practice. The order of your equipment and layout may not necessarily be the same as the "ideal" positions outlined in most videos. So try it out! You'd be surprised at how different yours may be. :)

The number must be on the helmet because you must put it on before the helmet on the bike.

shades should be on top of helmet straps, unless you have aero bars, your helmet won't lie on top of the regular handle bars
