  • You lost me when you got to monitoring your health to such extent I thought that in MY opinion was too far...but obviously whatever works for u is right I guess. As far as exercise goes for me; I set a goal. The goal is a hard goal..a yearly half marathon. The idea of not being fit enough to finish the task I have invested money on motivates me to keep at it and adds purpose to running. As for diet...I buy good food and drink lots of water...simple. Nice "day list" method. Love the tips and cat

  • I'd rather be the cat in the background playing with the sring and walking around lalala what a life he has lol

  • lol the cat in the background

  • I want to know what app to do list you use! lol :) I've seen so many but curious which one you use... Love this video. I'd love more videos on organization.

  • WOW! You rock!

  • Thanks for posting this!

  • Kitty!!!!

  • yay us !!!!!!! i thought I was the only crazy overly organized person u make me feel normal (ok well not normal nut not alone )

  • Its hard not to stare at your supercute cat btw XD

  • The inbox site led me to the 48 site but all I found was some goofy guy making video there - not a system?

LOVE the idea of making a list of everything I have done each day - there are many days I feel like I spent all day doing nothing and I feel guilty. In reality I did do things and seeing it would help.

Last note - I hope you never lose your biz black book! or you at least have a copy of it.

VERY helpful video - Thanks :)

  • The guy is Merlin Mann and he IS goofy. He invented Inbox Zero and the website 48 Folders and he's a genius :D

If you scroll below the video, you'll see a link to "What is Inbox Zero?" -- follow that link to another page, and click to watch the inbox zero VIDEO (one of the bullet points). That's what you want.

    Thanks!

  • I've been looking for the LoseIt! application for my new iphone... do you know if it's available anymore? I can't find it at the App Store!

  • as far as I know it's still available... only in the US and Canada though, i think

  • Ah.. I'm in Australia... that'd be why I can't find it!

I found a useful alternative, though the layout isn't as nice as LoseIt! It's called Edibles, for any aussies or non-us/canadian watchers out there!

  • i love your interior design, gorgeous!

  • Thank you :)

  • thank god that i don't have to track my period ._.

  • I loved it when your cat out of nowwhere just ran as fast as it could. That was so cute and very funny...

  • Fantastic points and you have a lot going for you! Great job for someone at your stage in your life.

  • YOU are gr8 im a mom of two that is so overwhelmed i gave up on everything i mean everything i don't know how to be organized or do anything anymore how do i start?

  • I recommend you read a book called Getting Things Done by David Allen :) Great book.

  • It's so important having time to yourself in amongst the workload etc - I don't know how people can live without to do lists!

  • good tips but people with children and work don't have time for this much tracking....thanks for your info....

  • I learned all this from people with children and work. I'm confused what you think I do with my time if you don't think I'm working...?

  • I didn't mean in a wrong way...and I didn't say you weren't working...I meant to say when you're at work all day and taking care of a "family" cooking, cleaning, baseball games, etc etc it's hard to keep track with all things you showed us.....you're right everyone should have their own organization system....

  • I have two kids (one of which is disabled) and just starting a job from home and I don't have time to NOT track. If I don't track things, I get overwhelmed and it takes so much more time to figure out the "mess" I create if I don't keep track.

  • lol @cat

  • In your balance journal, what is the difference between your "self" circle, and your "other" circle? Could you give some examples?

  • "Self" is when I take time to sit back and chill, go out with friends, play with my cat, read a book, meditate, what have you... It's down time, and time AWAY from the computer. Time to clear my head.

"Other" is time spent on my many hobbies, or getting things done beyond the main 3 businesses. I have 3 additional businesses that I run, so if I work on one of those... Or time spent on a hobby I only do sometimes - sewing, crocheting, studying French, whatever :)

    <3

  • Thank you.

  • Great video! Very motivating!

  • shut up mumzee, that was a great statement. She doesnt need "your respect"..who are you supposed to be?

  • Comment removed

  • This is still my personal channel...

  • Love the video! I think i will take your advice and start organizing simply myself!

  • thank you so uch for this vid! I also use google calendar ;)

  • OMG I'm like the exact opposite of you... it makes me feel disorganized o_o but i'm favoriting this vid because it's an awesome vid i'd like too look at again in the future!

  • Oh I needed this :) Great idea to take the topic of the night spill over into your vids. thanks for sharing

  • Also - how do you allocate your time between "has to be done daily" and projects? Finally, what is this inbox thing you were talking about that sorts your emails for you? Is it in gmail, outlook, or something different?

Sorry for the double posts - organization is something I'm always working on and love to get other people's ideas!! :D

  • NO problem with double comments :P

I typically try to spend about 1/3 my week total on daily to-do. If something is taking up too much of my time, I try and find a way to either make it more efficient or outsource it so I have more time for important things. Typically I will spend all of Monday and Tuesday doing "need-to-do" things, and some of Wednesday. Then the end of Wed and all of Thurs and Friday are for projects.

  • I really like the notebooks you have created on both sides of life - business and personal. I will try out some of the personal ones for sure...but for the business ones...I have stuff I have to do everyday that is extremely time consuming which makes it difficult to also get in the other projects I need to work on. Does your to do list for business only include special projects or the stuff you have to do everyday that takes up all the time?

  • The stuff that I do every day is sort of routine and I don't put it on any lists. After I complete that (maybe 1/3 of my day), then I do things outside of every day stuff. So... the list on the front of my daily diary (the big post-it) is stuff that's come up and needs to be done soon, hopefully today, that's not routine things. Then I have a longer to-do list in the black notebook of bigger projects to start in turn.

  • Some days I just have to do routine things all day long, but usually once I get into a solid habit, routine things take up less and less time and I have more time to focus on other things.

Sometimes we get consumed with the day-to-day and forget that we have to PUT IT ASIDE sometimes to work on other projects. I do that when I really have to - just take one or two days for a particular project and do nothing else. :)

  • Thank you for this video, perfect timing with college/university semesters rapping up and the end of the calendar year it gives everyone a great change to get some ideas to get more organized!

  • I like your organizational system, but 1200 calories a day seems a little low ... I am 5'7" and i can lose weight consistently (about 1 - 2 pounds a week) if I eat 1340 - 1450 calories a day. But if it works for you, go for it.

  • I am not sedentary - I am very sedentary. If you classify m (5'8'', 165 lbs, 24 female) as "sedentary," I should eat ~1400 to lose weight. If you classify me as "very sedentary," I should eat 1200. I am at the computer almost all day and fall under the latter category. :)

  • This will be my goal for 2010. I need to be organized.

  • This is GREAT! Thanks for the vid! <3

  • OH my... this couldn't have come at a better time. I have been offered a chance to run a business from home and I want to make sure I stay organized and do a great job. This is a chance of a lifetime for me (due to the fact that my son is sick and I have to be home with him) and I really want this to turn into a LONG TIME career! Thank you so much for "reading my mind" this week :-)

  • Awesome!

  • Great video

What a great system you've developed.

I'm organizationally challenged, and I think I can benefit from this video tremendously. Thank you very much for sharing.

Over the years I've collected many papers--2 home businesses, legal isssues, personal, children's files, information, warranties and instructions, career portfolio, on and on. i can't seem to get control of them. Any suggestions for this particular problem?

Great job your doing! And thanks!

  • A filing cabine would probably get you off to a great start...

I would seperate them by topic such as warranties/instructions first...

Once you have that done then categorize by dates such as the oldest/newest legal papers first and then work backwards or forwards from that date...

    I hope that helped...

    Take Care!

  • I would do what hvyweight20 suggested - FILE :D I have several filing systems in place and they are my saving thing when it comes to papers. I have every different thing I need to store categorized, and file things by category (finances in one place, things to keep/store in another place, career stuff in yet another place...).

  • Thanks to you both. I do have filing cabinets, which I replaced several plastic filing boxes, and categorized. I prefer the portability, and that they could fit into the sideboard in my living room.

Papers seem to pile up way to fast, I guess I have to create a disciplined routine (which goes totally against my creative nature) that I can somehow stick to every day, to stop the build up of papers. I never seem to have enough time to process them.

    Love this direction you're taking!

  • great video thnx

  • Shanti,

I just got an app on my ipod touch called LifeBalance, check it out...it is a like your list with the 5 stars.

  • great video! Awesome! Please do more vids like that!

  • Can you talk about how to start a business ?

I want to have a Internet business but i dont know where to start . Tank you

  • Whew - that's a whole new video!

  • how to you organize papers and papers galore?????!! i find hole-punching and placing them in a 3 ring binder has been a helper recently. it just will take time to sort through other papers and hol-ounch to feel complete. how do you keep your place so clean????? i'm a neat freak and die when others misplace items or leave visable trash behind.

  • I use files. I have a few file drawers - one for banking, one for storage and project papers, and several for customers and sales. I file everything.

  • Thank you thank you thank you for this Shanti!

  • I'm sorry... but Matty was the star of this video!!

  • 10:34 Kitty was like, am I on camera? OUT!

Have you seen Unbreakable? Because I feel like if you're Bruce WIllis, I'm Mr. Glass. We do have one thing in common though, I also track my period.

  • lololol

  • You're so organized, I've been trying to get like that for YEARS

  • Yay Shanti :) You Gave me Some REALLY Helpful Hints as a College Student on How to Manage. Beings as There's only one WEEK (Thank Goodness) Left of School For the Semester.. i Think This Weekend and Next Week Should Be a To-do List. after That, CTFO (Chill The Fuck out) and RELAX for 3 Weeks. Then 2010, Next Semester, Start Doing a To-Do List :)

    Woot Woot!

    x0x

  • great info thanks for sharing :). love your cat sooo cute.

  • I have been trying to figure out what works best for me too. I am using those little reporter pads they are like 3"x11" in size for to do lists. I would like to see something that you have on when to pay bills. I have been trying to get this down for years. I tried the iCal and have them on repeat for each month, but they don't have anyway to check them off. Some bill have not arrived before and I knew because of the calendar. But it isn't easy to do. Suggestions?

  • You know, that's tough. I would suggest keeping your bills on auto pay through your bank's online banking system or something like that. I used to track my bills on a calendar, but now I just pay them when they come in (or they're on auto pay). If you have too many to count, I recommend calling the companies and asking if you can move to a different billing cycle - then you can get all your bills in the same week :P

  • Really informative vid, albeit upstaged at times by the kitty!

  • I think you should start a 4th business: motivational speaker.

  • I wish I were as organized ,but this video has been motivating for me to do SOMETHING...I think the daily "to do" list would be very helpful to someone like me. Thanks!

  • antishay hon this was a great video i need to put it in my fav as well...your a kool person....

  • Well, ronmarcoo said it already, bu do you make a copy of you business notebooks? (Physical copies)

I also think it´s maybe dangerous in a way if you also keep all your passwords in there, I don´t know.

But I seriously would feel over-managed and over-tracked, if I even would track my personal life, too.

But from a business point of view, it´s just very good.

  • I don't make copies. They're more for my sanity than actual reference. And it's all in my brain... I suppose copies wouldn't be a bad idea, but I haven't made any.

I feel out of control if I don't track, so I suppose to each her own.

  • 1. I also work from home and how do you decide "work" time vs. "personal" time on a day to day basis? do you have days just for work and just for personal or a little everyday?

    2. how do you track marketing plans & your responses? Is that under "new plan"?

    3. do you track how long it takes to do something so you know if you have room that day to do it?

    4. balance journal, are you trying to work a certain amount of hours on your business, or just working on them in general?

    THANKS!!!

  • HI :)

    1. I always do work first, and work until all the priority 1 things are done... as long as it takes. Everything beyond that is personal time.

    2. We rarely market, so that's easy for me. When we do market, we track the sales and responses by putting a code in the purchase buttons. Then we use reports from QuickBooks to calculate the increase or decrease in sales over that time period compared to the previous year, and previous period. All that gets logged in the book :P

  • 3. I don't track lengths of time - I just play it by ear. Most of it I can feel out because, yes, I've been doing it for a while... but when something I'm doing is foreign to me, I just usually give it way more time than I think it will need.

    4. Again, it's about doing the first priority things. Usually I have 3-7 things I MUST do that day in all the businesses. If I do all those high-priotity things, then I get the box filled in. Everything else is just icing on the cake :)

    <3

  • this is a great video. I am starting a new weight loss plan and your tracking system I think will help. I do the stickers thing too on a calender it's great motivation to get things done and make sure you stick to plan

  • Wow, Shanti! You look really good in this vid...your skin looks very healthy! You're glowing!! It seems that you're finally getting used to living in Cali...

  • wow that's amassing amount of organisation.

  • Dave Ramsey would be proud <3 R

  • Very great and helpful video lady.. Love your way of living and your mind set... Greetz from the netherlands..

  • this was a really great video!!!

  • I admire your organization skills! I've been managing my life a lot better now, and I think you've been a very good influence on me. :)

    PS- I love your handwriting.

PPS- I can't wait to meet you at Las Vegas. :)

  • :P Thank you!

  • I'd be horrified to leave all my business details in one book. What if something happened to it? I'd need it on a computer and secured with passwords. Also, backed up onto an off-site source. Scary...flood, fire, theft, etc....poof...all your business information gone!

  • Well it's stored electronically too - but I have far more experience with losing or corrupting digital files than I have with fire, flood, or theft ;) So I keep it all in there too. The point of the notebook is to have all the business meetings and plans ever agreed upon in one place, and in order.

  • WOW-- That is a LOT of documentation!! I have to say though, that if I did half of what you did to organize yourself I would be much better off, the people around me would be better off... I am going to have to favorite this and rewatch when I am at a point in my life to do so ( long story) - so Thank You for sharing with us!! Very helpful- 5 stars!

  • You're welcome. Thanks :D

  • You are fantastic! Very impressive organized life. How do you deal with friends when they drop in and mess up your schedule? Do you tell them that you cannot accommodate them? I Do you feel a little hemmed in sometimes????

  • That's an excellent question...

When my friends want to do something, I usually tell them "let me check," and then I review my list. If I've already done all the high-high priority (today) stuff on my list, I'll usually push some of the lesser-important things on to the next day and go out and have a good time.

But sometimes I just simply turn them down and say sorry... and I stay home and work. SOMETIMES, circumstances allowing, I will go out first and do the high-priotiry stuff at night :)

  • I found this really helpful, I've never really sat down and formed a plan, but clearly it helps a lot to have one!

    Great vid :)

  • HAhaa yes a plan is always a good thing! "A goal without a plan is just a wish."

    ;)

  • great vid! loved it, needed the motivation today to start organizing my life. thanks so much!!

  • Yay! You're welcome :)

  • i love the 2009/2010 books ....i'm hitting the store today and getting one of those bad boys lol ...and your right organization is a BIG key not only in sticking with something but also in health AND in life in general ...awesome vid!!!

  • Thank you :D

  • i love your cat! soooo cute *.*
