    Thank you for this wonderful series. I have a doubt. If i created the pivot table and i come to know that i missed a transaction, so after i add the missing transaction in the main table, does the same update in the pivot table also or do i have to create a new pivot table?.

    Just one quick question:

    I'm working with a large pivot table containing multiple types of data (sales numbers, revenue, cost etc). Is it possible to switch between these types of data quickly in Excel 2007?

    Ideally, I'd like to have a dropdown list through which I can choose which data I want displayed in the pivot table. But unfortunately, these lists only seem to be possible for selecting filters for rows/colums.

  • @diedikkeuitdejury hey i know how to do that but it doesn't use pivot tables. Pivot tables are all very well but to get really powerful data analysis and customization you need to get down & dirty with some CSE formula (control shift enter) AKA array formula.

    I build tables made up of CSE formula when I want serious analysis setup and use pivots when its a quick fix. That drop down list you want could simply be made using data validation. If you would like to know more then message me.

  • Hi ExcelIsFun. Just a quick question. I am trying to practice the pivot tables. I imported my credit card transactions from the internet to excel. When I try to group the dates as you did in this video, it tells me "cannot group that selection" Do you know what I could be doing wrong or how to solve the problem? Thanks in advance

  • @Astroboy25 , there may be a blank cell, or the dates are stored as text. It can't group if there are blanks or dates as text.

  • Let's say I have a list of 'ages' in my table. I add the 'ages' to my report filter but the report filter only shows the ages individually as they appear in the table. I want the report filter to show the ages in ranges instead, for example: 20-29, 30-39,....etc instead of individual values. How do I do this? Please help!

  • The trick is to drop the Age in the row labels, then grop while it is in the row label, then drag it to the Report Filter.

    That should do it!

  • Great Videos! One question- In 6:22 when you drag “Region” down to the “rows label” in that pivot fields list, you get 3 columns but I only get 2. My year and months are on the same column. Where it should be saying “Sum of Sales” it says “Row labels” instead. I’m trying to figure it out? I followed all your steps. Help? Thanks so much

  • The video shows the field list on the right (Excel 2007) and then the pivotTable area, which has the pivotable options shown as Excel 2003) - so to match what you see in the video, drag and drop the fileds just as you see in the field list (right side) - then you should be able to get it to look like in the video.

  • in this video u said dont press ctrl +1 to format cells of pivot table , can u please explain a litllte bit more why? because i tried ctrl +1 and it is working fine and also i copied and pasted it to other sheet and it retained that format that is y i m little bit confuse about it thanks!

  • Ctrl + 1 formats the cells, and if the PivotTable moves and uses different cells, then the Field does not know to move the formatting. However, if you use the Field Settings dialog box, the Field knows that it is formatted and when you Pivot the PivotTable, the formatting moves also.

  • Thanks for this. I think this one lesson covers alot, but I think once you get comfortable with the first basic pivot table, you can go more into the fancy, like the group options, dates in front., etc. Many companies though, refuse to go to 2007, and are staying with 2003 Office Suite!

    How do you trend the dates? example: you have service date and invoice creation date and want to know the lag time between the two? Appreciate your help.

  • If there is only 1 service date & invoice creation date for each category in row label area, then you could create formula in pivottable, but that is risky cuz if you pivot the pivot table and more than one time is in a category, you may get a combined calculation. Why not just do it with formula in the original data set? Add a column & subtract one date from the other. I am not sure about how your data is set up though.   • No. For all Pivot Tables if you want to update, you have to right-click in Pivot Table and point to Refresh.

  • Am I right in saying that adding a column to a table won't show up on an already-existing PivotTable Field List? You have to make a new PivotTable with the new table?

  • If you set your data table up as an 'Excel Table', then all you have to do is right-click the PivotTable and point to 'Refresh'. See this video:

    If you do not have data set up as an 'Excel Table', then in Excel 2007 / 2010 you have to go to PivotTable Tools Options ribbon and click on the 'Chnage Data Source' button. In earlier versions, go to the PivotTable wizard and in step 2 change data source.

  • Because formatting done through Value Field Settings is more permanent and thus formatting remains when you "pivot".
